Getting started with club memberships and subscriptions

You can use Member types and subscriptions in Tabology to manage different categories of club membership, including their benefits, membership fees and renewals.

For example, a sports or social club might offer Full, Social and Junior memberships, each with different benefits and membership fees.

Member types allow you to create these different membership categories and configure the benefits, rewards and promotions available to each.

You can then add a subscription plan to a Member type to manage membership fees, periods and payments. You can collect subscription fees automatically via Direct Debit.

If you offer free memberships, you can use Member types without setting up a subscription plan.

Follow the steps below to set up and manage your club memberships.

1. Create your Member types

Start by creating a Member type for each membership your club offers.

For example, you might create:

  • Full Member – Members who receive all club benefits and pay an annual membership fee.

  • Social Member – Members who receive a different set of benefits and pay a lower membership fee.

  • Junior Member – Younger members with their own membership benefits and fees.

For each Member type, you can configure the benefits and promotions available to members. You can also set up membership email templates and digital wallet passes.

2. Set up your subscription plans

If you charge a membership fee, you can add a subscription plan to the Member type.

A subscription plan defines how much members pay, how often they pay and when their membership periods begin and renew.

When creating a subscription plan, you can:

  • Set a recurring membership fee

  • Choose the billing frequency, such as monthly or annually.

  • Set a fixed renewal date, if required.

  • Specify when the subscription starts.

You can use Direct Debit to collect subscription payments automatically.

3. Add members to your club

Once you've created your Member types and subscription plans, you can start adding members.

You can add new members from the EPOS or back office, assigning them to the appropriate Member type and subscription.

4. Manage your subscriptions and payments

Once your memberships are set up, you can use the Subscription Centre to view subscription plans, individual members' subscriptions and their payments.

From here, you can monitor membership subscriptions and payments, including those collected automatically by Direct Debit or recorded manually.
