Setting leave approvers

When you have set up your leave types and assigned your staff members to the leave types, you should then set your leave approvers. There are two types – Default leave approver, and Leave approver for individual staff members. Both receive leave requests via email and view and respond to leave in the same way.


Setting default leave approvers

Start by setting a default leave approver – this can be more than one person if needed. Ideally, choose someone who approves leave for most staff, such as the General Manager. If no default approver is set, leave requests won’t be visible, and staff won’t be able to have their leave requests approved (unless they’ve been assigned an individual approver).


To set a Default leave approver, go into your back office and select Setup > Rotas.




Scroll down to the Default leave approver setting.



From the dropdown menu, either select the Leave approver, or start typing the name of the approver. Press Enter or click their name to apply. Repeat if you wish to add more default leave approvers.



When you’re done, scroll down and click the blue Save button.


If you’re a small business where one person approves leave for the entire staff, this is all you need to do. 


However, if you have multiple teams where a different person approves leave for certain staff (such as a Head Chef who approves leave for kitchen staff only), then you need to set leave approvers for individual staff members.


Setting leave approver for individual staff members

Setting a leave approver for individual staff members will override the default leave approver setting in the Rota setup.


To assign a leave approver to an individual staff member, go into the back office and select Staff & Roles > Staff from the left hand navigation.



From the Staff list, locate the staff member and click anywhere on their row.



From the Staff member details, scroll down to the Leave section.


From the dropdown menu, either select the Leave approver, or start typing the name of the approver. Press Enter or click their name to apply. Repeat if you wish to add more leave approvers for that individual staff member.



When you’re done, scroll down and click the blue Done button. Leave approvers can now view and respond to leave requests.
