Leave types represent the different types of time off that your employees can take. For example, paid holiday leave, unpaid leave, or sick leave.
For each individual leave type, you can set:
- Whether the leave type is paid or unpaid
- Whether the leave allowance accrues per hour, or is allocated up front
- The default number of hours for a leave request
- How the leave type is to be paid; as a percentage or an hourly rate
In addition to setting your leave types, you will want to:
- Set your holiday start year
- Select your leave approvers
- Enable your staff to request leave
To set a leave type, go into your back office & select Staff rotas > Leave.
From the Leave module, click the blue Leave types button.
Click the blue Create a new leave type button.
A blank name field, will display. Give your leave type a name.
Then click the blue Tick button at the end of the row.
The leave type, will display to the right of the screen.
The Name field will pre-populate with the name you gave your leave type at the point of creation.
Note: This can be changed here, if required.
By default the Paid leave toggle will be On. This means the staff member will be paid when taking time off with this leave type. When toggled to on, the Percentage of normal pay field will open up. This will default to 100% of the staff members normal pay.
If pay for this leave type will be different to a staff member's normal pay, you can:
- Make it a percentage of normal pay by updating the value in the Percentage of normal pay field, or
- Set a fixed hourly pay rate, by switching the Pay type toggle to Hourly and entering an amount in the Hourly pay field.
You can now specify how leave will be accrued.
Toggle Leave accrual to Fixed to allocate an allowance at the start of the holiday year. This will default to 224 hours, but can be overridden by entering a new value into the Leave allowance per annum field.
Note: Fixed accrual rates can be used for salaried staff who have a fixed number of hours to use over the year.
Toggle Leave accrual to Hourly to set leave to accrue at the specified rate for every hour worked. This will default to 0.127, but can be overridden by entering a new value in the Accrual multiplier field.
Note: The hourly accrual can be used for hourly staff members who accrue leave based on the number of hours they work.
You can now set the Default daily hours, which will be the hours used for one day of leave when your staff member makes a leave request.
Click the blue Save button.
You can now assign staff members to your leave type from the staff tab, or from their staff profile.
